Acceptance of Terms and Conditions

  • These terms and conditions apply to all contracts entered between S4A Group Ltd – S4A – and its customers.

  • At the time you make a booking, you will be deemed to have accepted and agreed to these terms and conditions. They will commence on the date of your booking.


Booking

  • All bookings must be made using the booking form on the website unless otherwise agreed between the parties.

  • When you purchase childcare provision, S4A will occasionally contact customers with onboarding instructions and details about the service you have signed up to. Unless you opt in to our newsletter, you will only be contacted about the childcare provision you have purchased.

  • You have the right to unsubscribe from our mailing list at any time. All data is handled in accordance with our privacy policy.

  • Following receipt of your booking, S4A will send you a booking confirmation email. Please ensure that your email address is supplied correctly at the time of your booking, otherwise S4A will be unable to send the confirmation and your child(ren)’s place on your chosen session may not be guaranteed.

  • Upon receipt of the booking email, you must check it carefully to ensure all information (such as the dates and location booked, and your child(ren)’s details) is correct.

  • If any information in the booking confirmation is incorrect, you must inform S4A within 7 days of receipt. S4A will use all reasonable endeavours to make any changes required.

  • If you do not advise us within 7 days, S4A shall assume the information is correct.

  • If you have not received your booking confirmation email from S4A within 48 hours of making your booking, please contact S4A using the contact details on the website.


Payments

  • The amount to be paid by you will be detailed at the time of booking.

  • S4A accepts payment via credit card, debit card, and, where applicable, childcare vouchers and tax credits.

  • All fees for any booking not utilising childcare vouchers must be paid at the time of booking.

  • For any booking using childcare vouchers or tax credits, we require funds from your provider on the same day as your booking, unless otherwise agreed in advance.

  • If you are booking onto a HAF camp with a HAF code, you confirm that the child is eligible under the HAF scheme. Local authorities will validate this. If the criteria are not met, you are liable for the full cost of the S4A Holiday Club booking.

  • If S4A agrees a payment plan with you, you must adhere to its terms. If you do not, S4A reserves the right to cancel your booking immediately.

  • S4A will email a payment reminder, followed by a second email if payment has not been received after 14 days.

  • If payment has not been made or no communication has been received within 30 days of the initial payment reminder, S4A reserves the right to close your account and your child will not be allowed to attend S4A until payment has been received.


Invoicing

  • S4A may offer the invoicing option for wraparound care bookings, with a minimum of £400 spend.

  • This is at S4A’s discretion and may not be available at certain venues.

  • Invoicing will be offered for a limited time period, which will be communicated by S4A.

  • When invoicing is used, S4A will not offer any flexibility — no credits or changes to bookings will be permitted.

  • S4A will issue invoices monthly over a 10-month period.

  • If invoices are not paid, S4A reserves the right to cancel any future bookings.


Changes to Your Booking

  • Changes to your booking can be made up to the start time of your booking.

  • All changes are subject to availability and S4A’s acceptance.

  • If you wish to make any changes, you must contact S4A via telephone or email.

  • Leaving a voicemail or sending an email does not confirm a change — changes are only valid once confirmed by an S4A representative.

  • S4A reserves the right to modify activities at our holiday clubs or wraparound care due to adverse weather, low attendance, or unforeseen circumstances. These changes do not automatically entitle you to a refund

  • This option is not permitted for those paying by the invoice method.


Cancellations and Refunds

  • S4A does not offer cash refunds for cancellations.

  • Cancelled sessions may be transferred to a different day or credited to your account as a credit note, valid for 6 months from issue.

  • Holiday Club Cancellations (including sickness):

    • At least 24 hours’ notice before the day of attendance is required to receive a 100% credit note.

    • If cancelled without at least 24 hours’ notice, no credit will be issued.

  • Breakfast and After School Club Cancellations:

    • A credit note will be issued for any future sessions missed due to child sickness or injury.

    • This option is not permitted for those paying by the invoice method.

Offers (Vouchers and Codes)

  • Percentage discount vouchers/codes:

    • Can only be used once.

    • Are non-transferable.

    • Must be used before the expiry date unless agreed otherwise in advance.

    • Are subject to approval by S4A.

    • Cannot be used in conjunction with any other voucher or promotional code.

    • May be rejected if falsely or incorrectly used.

    • May be amended or withdrawn at any time by S4A.


Free Days / Promotional Codes

  • A golden ticket for after-school clubs can be used for one club session until 4:30pm.

  • A golden ticket for holiday clubs can be used for one day only from 9am–3pm.

  • Free days are non-transferable and may only be used once.

  • A booking made using a promotional code is valid only for the stipulated day and only one promotional code can be used per child.
